Resident Support Specialist Supervisor

Job Summary
The RSS Supervisor is responsible for providing operational leadership, supervision, and strategic oversight of Resident Support Specialists (RSS) and Lead RSS staff across Sanford Behavioral Health's residential and supportive living programs. This role ensures the delivery of high-quality, patient-centered support services by maintaining appropriate staffing levels, fostering a positive and accountable team culture, and promoting excellence in safety, compliance, and patient experience.
The RSS Supervisor oversees recruitment, onboarding, training, performance management, retention, scheduling, and professional development of the RSS team. This position partners closely with clinical, medical, and operational leaders to support a therapeutic and recovery-focused milieu while ensuring staffing models align with census, patient acuity, and organizational goals. The RSS Supervisor is responsible for monitoring team performance metrics, identifying workflow improvements, developing standard operating procedures, ensuring adherence to CARF standards and organizational policies, and leading quality improvement initiatives.
As a member of the leadership team, the RSS Supervisor participates in the Administrator On Call rotation, provides guidance during critical incidents and operational challenges, conducts root cause analyses, and serves as a key resource for staff support and problem-solving. This role requires flexibility to provide evening, night, weekend, and direct coverage support as needed to ensure safe and effective operations across all residential programs.
Role and Responsibilities
Drives culture and accountability within the RSS team, modeling professionalism, teamwork, and adherence to Sanford values
Provides ongoing coaching, mentorship, and real-time feedback to Resident Support Specialists to ensure interactions with clients reflect Sanford's clinical philosophy, trauma-informed care principles, professional boundaries, de-escalation techniques, and recovery-oriented best practices
Identifies workflow inefficiencies and develops process improvements and SOPs to enhance operations and patient experience
Handles staff scheduling for Resident Support Specialists in residential and supportive living programs at Sanford West.
Oversees non-clinical resident programming and engagement opportunities, ensuring activities support a positive treatment experience, recovery-oriented environment, and overall client satisfaction.
Coordinates resident activities, excursions, volunteers, family engagement events, and community partnerships, ensuring appropriate staffing, transportation, safety considerations, budgeting, and required documentation.
Collaborates with Clinical Leadership to coordinate satisfaction surveys, assessments, and other client feedback initiatives, reviewing results to identify opportunities to enhance the client experience and improve program quality.
Conducts routine EMR audits and monitors documentation compliance, ensuring required documentation, signatures, acknowledgments, and other non-clinical records are complete, accurate, and completed within established timeframes.
Assists with developing and implementing action plans to address client concerns, strengthen resident programming, improve documentation compliance, and enhance client satisfaction outcomes
Responsible for staffing model alignment with census (ADC), adjusting staffing levels to meet patient acuity, safety, and budget needs
Tracks and evaluates RSS team performance metrics (e.g., incident rates, documentation compliance, call-ins, turnover trends) and implements improvements
Conducts formal performance evaluations for Resident Support Specialists (RSS) and Lead RSS staff, including ongoing coaching, feedback, and development planning
Provides direct oversight, leadership, and support to the Lead RSS team, ensuring consistency in expectations, communication, and delegation across all residential programs
Leads recruitment, hiring, and onboarding efforts for RSS and Lead RSS positions in partnership with HR and leadership
Included in the Administrator on Call rotation with the leadership team.
Evening, nights and weekend availability required as needed for coverage or team support.
Implements and maintains retention strategies, including engagement, recognition, and professional development opportunities to reduce turnover
Initiates and manages disciplinary actions in alignment with HR policies, including coaching plans, written warnings, and performance improvement plans (PIPs)
Oversees and ensures execution of a comprehensive training program for RSS and Lead RSS staff, including onboarding, annual competencies, safety drills, and ongoing skill development
Monitors staff competency and adherence to policy, including CARF standards, safety protocols, and EMR documentation expectations
Steps in and provides coverage in the absence of Resident Support Specialists, as needed.
Supports RSS and Lead RSS with residential and detox milieu challenges, in partnership with the clinical and medical teams.
Tracks critical incident reports and completes root cause analysis on ones submitted by RSS team.
Qualifications and Education Requirements
Understanding of residential treatment programming, required
2+ years of behavioral healthcare experience, required
3+ years of leadership experience,
Knowledge/Skills/Abilities
Leadership skills, innovative mind set and ability to navigate EMR efficiently and effectively.
Communication skills, self-motivation, organizational skills, critical thinking, and good decision-making abilities.
Physical Requirements
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift 15 lbs.

Work will be performed in an office environment with fluctuating temperatures.
